Refund & Cancellation Policy

At Ocean Soul Travel, every experience is carefully personalised and curated around the individual traveller. Significant time is dedicated to route planning, accommodation research, supplier coordination, local communication, and tailored itinerary creation prior to travel.
By confirming a booking or submitting payment, travellers acknowledge and accept the following Refund & Cancellation Policy.
1. Journey Design Deposit
To begin the personalised planning process, a non-refundable Journey Design Deposit is required following the consultation call.
This deposit:

secures your planning slot,
-
allows Ocean Soul Travel to begin creating your tailored itinerary,
-
and covers the time, research, coordination, and custom planning involved in designing your experience.
The Journey Design Deposit is credited toward the final trip balance but becomes non-refundable once itinerary planning and trip design work has commenced.
2. Trip Payments
Additional deposits or staged payments may be required to secure:
-
accommodation,
-
transport,
-
guides,
-
activities,
-
retreats,
-
wellness experiences,
-
and other third-party services related to your journey.
Payment schedules and timelines will be confirmed during the booking process.
The remaining trip balance must be paid in full on or before the first day of arrival in Sri Lanka unless otherwise agreed in writing prior to travel.
Failure to complete payments within agreed timeframes may result in cancellation, postponement, modification, or withholding of services. Ocean Soul Travel reserves the right to retain previously paid amounts where supplier commitments, operational costs, planning work, or third-party reservations have already been incurred.
3. Cancellation by the Traveller
All cancellation requests must be submitted in writing via email.

More than 45 days prior to arrival
Cancellations made more than 45 days prior to arrival may be eligible for a partial refund excluding:

the non-refundable Journey Design Deposit,
-
completed planning work,
-
and any non-recoverable third-party costs already incurred.

Between 30 and 45 days prior to arrival
Cancellations made between 30 and 45 days prior to arrival may receive a partial refund depending on:
-
confirmed reservations,
-
supplier cancellation policies,
-
accommodation commitments,
-
transport arrangements,
-
operational costs,
-
and services already secured on behalf of the traveller.

Less than 30 days prior to arrival
Cancellations made less than 30 days prior to arrival are generally non-refundable due to:
-
confirmed accommodation bookings,
-
transport reservations,
-
guide commitments,
-
supplier penalties,
-
activity bookings,
-
and operational costs already committed.
4. Third-Party Supplier Policies
Many accommodations, transport providers, wellness operators, retreats, activity providers, and third-party services operate under their own cancellation and refund policies.
Ocean Soul Travel cannot guarantee refunds for:

non-refundable reservations,
-
supplier penalties,
-
or bookings already confirmed with third-party providers.
Any refunds issued remain subject to supplier approval and recoverable amounts.
5. Changes to Confirmed Bookings
Ocean Soul Travel will always do its best to accommodate reasonable itinerary changes where possible.
However, changes requested after confirmations have been made may result in:

additional supplier fees,
-
revised pricing,
-
availability limitations,
-
or modification charges.
All requested changes remain subject to operational feasibility and third-party availability.
6. Exceptional Circumstances
In cases of:

severe weather,
-
natural disasters,
-
unsafe ocean conditions,
-
political instability,
-
government restrictions,
-
travel disruptions,
-
strikes,
-
pandemics,
-
road closures,
-
supplier failures,
-
or circumstances beyond reasonable control,
Ocean Soul Travel reserves the right to:

modify,
-
postpone,
-
replace,
-
or cancel parts of the journey where reasonably necessary for safety or operational reasons.
Where possible, alternative arrangements, travel credits, rescheduling options, or partial refunds may be offered at the discretion of Ocean Soul Travel and subject to third-party supplier policies.
7. No-Shows & Unused Services
No refunds will be provided for:

no-shows,
-
missed arrivals,
-
voluntary early departures,
-
unused accommodations,
-
missed activities,
-
or unused services once travel has commenced.
8. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers.
Travel insurance should include coverage for:
-
cancellations,
-
medical emergencies,
-
transport disruption,
-
personal belongings,
-
activity participation,
-
and unforeseen circumstances.
Ocean Soul Travel is not responsible for uninsured losses.
9. Refund Processing
Approved refunds, where applicable, may require processing time depending on:
-
banking systems,
-
international transfer timelines,
-
supplier refund processing,
-
and payment provider procedures.
Transaction fees, currency conversion charges, and banking fees may be deducted from refunded amounts where applicable.
